Job Description
Duties, Responsibilities, and Expectations
Position: Operations Assistant
Reports to: Chief Executive Officer
Location: 9 Basin Drive, Suite 150, Kearny, NJ 07032
Schedule: Part-time – 20 hours/week
Role
Our Operations Assistant is responsible for organizing and executing a wide variety of duties to make sure our facility runs smoothly and efficiently.
Responsibilities
- Warm and Clean Environment— greet all members and guests; answer the phone and door; ensure the facility is ready and organized at all times (restock coffee bar, maintain common area cleanliness, etc.)
- Facilities and Equipment Maintenance — troubleshoot and manage basic problems; schedule and oversee spontaneous repairs and planned maintenance; keep records and maintenance reports
- Storage Management — manage storage inventory; conduct ongoing shelf and space audits; update signage
- Document Management — ensure that member and vendor contact information, contracts, insurance, licensing, and certifications, etc. are up to date; conduct outreach to obtain missing items
- Members – Conduct facility tours for prospective members; collect onboarding paperwork and conduct orientation sessions for new members; communicate with current members about facility policies, upcoming repairs, etc.
- General — receive and organize shipments; manage towel service; restock first aid station; order supplies; organize storage and office closets; update facility signage
Requirements
- As we’re looking for an ideal fit, our new Operations Assistant will likely possess what we’ve listed below:
- Experience as an executive or personal assistant or office manager
- Detail-oriented, highly organized, and enjoy finding ways to improve efficiency
- Have exceptional written and verbal communication skills
- Computer proficiency: Google Suite, Microsoft Office; knowledge of Adobe Acrobat, Adobe Sign, and Canva a plus
- Experience working in a kitchen environment and food safety certification a plus
- Ability to communicate in Spanish a plus
